Purpose and Approach
The Nevada State University Library uses artificial intelligence (AI) tools to support library services and internal operations. This page outlines how the Library evaluates, adopts, and governs AI technologies. This guidance applies to AI features in library systems, vendor platforms, and tools used by library team members. It supplements campuswide policies governing the use of AI.
The Library takes a proactive approach to AI adoption for the purpose of enhancing human work. Library team members remain responsible for decisions. As information professionals, we also seek to maintain experience with and current knowledge of AI tools to better assist the campus community.
Where AI May Support Library Work
AI tools have been used for assisting the library team with the development of new ideas and solutions. These tools have also been helpful in providing new approaches to projects and workflows, enhancing library work to automate routine tasks, and allowing the library team to focus on more impactful work for the Nevada State community.
Beyond improving efficiency, AI tools are continuing to be integrated into library systems and platforms to aid in user experience and discovery. For example, research assistant tools and AI features within databases have been added to support users in research, summarizing content, and interacting with information more effectively.
With the rapid evolution of AI technology, the library team continuously assesses AI tools on their reliability with supporting work, and overall value, ensuring responsible AI usage and thoughtful governance.
Security and Privacy
We prioritize safety, security, and privacy of information in the use of AI. We recognize that users are responsible for their decisions and the information they input into AI tools, and we ensure they are trained in the risks associated with AI tool usage.
When using AI tools, we understand that the tools are trained, and any input or prompt may be used to further train that AI depending on the specific data privacy settings and policies. We do not upload confidential personnel data, student records, or restricted research information into public AI systems.
Governance and Review
Prior to adoption, AI technologies undergo an evaluation process that examines potential benefits, risks, and compliance with Library and University policy. When we evaluate new AI tools or features, we consider:
- Purpose and Value
- Limitations and Risks
- Security and Privacy
- Library and Institutional Compliance
- Accessibility
- Integration and Sustainability
Library team members are actively involved in the evaluation process, offering feedback and potentially piloting tools under consideration. All adopted technologies and approved uses are subject to review as capabilities, policies, and use cases evolve.
